Hosting Queenstown Guest Terms and Conditions

At Hosting Queenstown, we are here to make your stay easy and memorable. Enjoy the comfort of your own Queenstown holiday home. Our team is just a message away for local tips or recommendations. We love Queenstown, and we hope that you are looking forward to your visit.


Quick Guide to Your Stay with Hosting Queenstown

- Check-in/out: 3:00pm / 10:00am (fees apply for early/late by request).

- Guests: Lead guest 21+ with photo ID. No extra non-booked guests without approval.

- Noise: Quiet hours 8pm–8am.

- No parties, no pets, no smoking: Breaches may result in eviction & penalties.

- Care of the property: Guests are responsible for taking reasonable care for the property. 

- Damages: Guests are responsible for any damage or extra cleaning.

- Emergencies: Contact us anytime if there is an urgent issue.

Before you Book

We kindly ask all guests to read the full listing details to ensure the property is a good fit for your group. Some properties may have unusual layouts, limited accessibility (e.g. stairs), or natural hazards (e.g. lakefront). Please contact Hosting Queenstown with any questions, as changes cannot be made last minute. 


Check-In and Check-Out

- Check-out time is firmly 10:00 am, and check-in 3:00 pm.

- Early check-in (from 1:00 pm), or late check-out (until 12:00 noon) may be available, subject to availability. Please arrange this at least one full day in advance. Approved early check-ins or late check-outs incur a $75 fee to cover additional housekeeping costs.

- If guests arrive earlier or leave later without approval, a $69 charge will apply for every 30 minutes. Unapproved departures after 12:00 noon may incur an additional charge, up to the cost of one night’s accommodation.

- Lost keys will result in a minimum $69 fee, charged to the credit card on file.


Guest Numbers & Age Requirement

The lead guest must be 21 years or older and present during the stay. The lead guest must complete photo ID verification through our third-party provider prior to the booking dates, otherwise Hosting Queenstown reserves the right to withhold access to the property.


The total number of guests must not exceed the number confirmed in the reservation. Each holiday home rental has specific occupancy limits that are strictly enforced. The number of adults and children to occupy the rental home must be stated at the time of booking and must not exceed the allowed number of guests. Increased occupancy, vehicle traffic, excessive noise, or illegal activity, will result in a $1000 penalty fee, eviction, and the forfeiture of all prepaid monies.


Bedding Configurations

Please confirm at time of booking if bedding configuration requirements differ from those advertised (e.g. make up all beds as kings, rather than split king singles). Bedding configuration is always subject to availability and is not guaranteed, although Hosting Queenstown will make every effort to accommodate requests. 


Payment and Cancellation Policy

The payment and cancellation policies are stated at the time of booking for websites AirBnB, Booking.com, Bookabach, VRBO, and VRBO regional sites. 


The payment and cancellation policies when booking through the Hosting Queenstown booking site are:

- 10% payment on booking, 40% payment 14 days prior to your stay, and 50% 7 days prior to your stay. Please note that the credit card you have registered at the time of booking will be automatically charged. 

- Cancel up to 14 days before check-in for a full refund, or within 7 days of check-in for a 50% refund. Unfortunately, cancellations made less than 7 days before arrival are non-refundable.


Full payment is required prior to arrival in order to gain access to the property. Hosting Queenstown reserves the right to ask you to leave the property if payment has not been recieved. 


Please consider taking out travel insurance to protect yourself from unforeseen circumstances that could result in failure to travel.


Cleaning Fees and Linen

The cleaning fees cover a professional departure clean and premium linen for the maximum occupancy permitted in the home. This includes bedding, face cloths, bath mat and towels for each person. More frequent cleaning may be scheduled upon request for an additional charge. We prefer that you do not wash the bedding linen as we have this professionally cleaned.


Self-Sufficient Holiday Home

All holiday homes managed by Hosting Queenstown are self-sufficient. Once the guest has checked in to the holiday home, there will not be a staff member at the property with the intention to clean or replenish items. We supply the home with sufficient amenities to get guests started; once you have run out of an item, it is up to the guest to replenish the items if they wish.


During Your Stay

The Guest is responsible for the property during the Guest’s stay. This responsibility includes:

– taking reasonable care of the property.

– all gas appliances and fireplaces must be switched off whenever they are not in use, overnight, and whenever the property is unoccupied.

– leaving the property at the end of the stay with all utensils, fixtures, fittings and equipment on, in or about the property in a clean and tidy condition.

– not rearranging furniture or removing anything from the property.

– removing rubbish to the bins provided, and removing excess rubbish from the property.

– washing dishes and cleaning BBQs and ovens used during your stay. 

– ensuring all doors are locked and any keys, if any, have been returned on check out.


The Guest is liable for any breakages or damage caused to the property or chattels during the Guest’s stay. When you arrive at the property, if you notice any pre-existing damages or breakages, please report immediately to Hosting Queenstown. Hosting Queenstown reserves the right to inspect the property anytime during your stay.


Excessively littered or dirty conditions at check-out will result in extended housekeeping hours at an additional cost of $75/hour. If additional housekeeping is necessary, including work to clean carpets, remove stains, repaint, repair finishes, replace furnishings, clean BBQ, clean ovens, homewares, or remove excess rubbish, you will be charged for labour, materials, and merchandise, plus any vehicle charges.


Smoking in the Property

There is no smoking or use of unlawful substances allowed inside the property. Please remove any cigarette butts from outside the property. If a smoking or unlawful substance odour is noted on check out, a minimum $1000 damage charge will apply in addition to any additional cleaning, fumigation, repair, and remedial costs.


Pets

Animals are not permitted on the property. If animals are found on the property, a $500 penalty fee will be charged, PLUS any extra cleaning fees, eviction, and the forfeiture of all prepaid monies.


Residential Use Only – No Parties or Events

This property is a residential dwelling and will be used strictly for residential purposes by the Guest(s) and the number of occupants nominated at the time of booking. The use of the property for a function, party, or any other gathering is STRICTLY PROHIBITED. Use of the property for purposes other than as a residential dwelling will result in eviction from the property, termination of the booking, forfeiture of all prepaid monies and a penalty of up to $1,000.


Noise control

This property is located within a residential area. Please respect our neighbours by keeping noise to a low level at all times, especially between 8:00 pm and 8:00 am.


As agreed by Queenstown Council, the following rules apply:

- No amplified sound/music is to be played from the outdoor living areas between the hours of 8pm – 8am.

- All outdoor living areas must be vacated between the hours of 10pm – 7am.

- Residents, neighbouring guests, and other Property Management companies within the neighbourhood can call the council with a noise complaint if they have concerns between these hours.


Lost Property

Any lost property retrieved will be mailed to the contact address we have on file, and a minimum fee of $25 for postage and packaging, and $35 for Hosting Queenstown staff time will be charged to the guest’s credit card.


Refunds for Unforeseen Circumstances

The Guest agrees that if the property becomes unavailable or unliveable for any reason (verified by Hosting Queenstown as being justified), then Hosting Queenstown will make every effort to find a suitable alternative. If a replacement property is not available, the guest will be provided with a full refund. The guest agrees that Hosting Queenstown liability is limited to the refunding of such monies.


Amendments or Cancellations Made by Hosting Queenstown

In the case of unforeseen circumstances where the property becomes unavailable, we carry the right to cancel or relocate the guests’ booking. We will do our best to relocate guests in the first instance to a property of similar standard or higher. In the case of a cancellation, we will refund the total amount taken.


Property Maintenance
We take pride in keeping our homes well maintained. Due to frequent guest stays, normal wear and tear may occur. Please report any damage or faulty appliances immediately so we can address them promptly, especially safety issues. Hosting Queenstown is not liable for issues beyond our control. Each property is inspected bi-annually and checked before every arrival and departure to ensure quality.


Callout Charges

Guests are asked to use all facilities responsibly. If a guest sets off security alarms, misuses appliances or electronics, or causes avoidable callouts for maintenance or emergency services, any associated callout fees will be charged to the guest. Avoidable call out fees will be charged at $75p/h. 


Office Hours

Our office hours are 9am – 5pm, Monday to Friday, although we will often reply to your messages outside of these hours. In the case of emergency, we can be contacted via an emergency call if there is a problem at the property.


Damage Policy

Hosting Queenstown does not require a damage deposit to be paid, but the booking Guest is still responsible for any damage caused during their booking. This includes accidental damage, breakages, extra service fees, lost or stolen property, or intentional damage. Our hourly time of $75p/h will be added to any damages to cover our time.


Currency / Goods & Service Tax

All prices are in New Zealand dollars (NZD) and include New Zealand’s 15% Goods and Services Tax (GST) unless otherwise stated.


Breach of Terms

Hosting Queenstown reserves the right to evict Guests from a property at any time if Hosting Queenstown determines these Terms and Conditions have been breached and the Guest(s) have not provided a reasonable explanation on request. In the unlikely event of an eviction under this clause, Hosting Queenstown is not required to refund any monies charged and reserves all its rights under these Terms and Conditions to apply additional charges.


No Liability, Insurance and Health and Safety

The guest will not purposely do anything to affect the owner or property manager’s insurance during their stay. If guests use extra facilities at the holiday home, including but not limited to the hot tub and BBQ, it will be at the guest’s own risk. The guest will accept responsibility if any injuries were to incur after the use of such items.


Personal items of the guests, including vehicles and inside belongings, are the guest’s responsibility. Hosting Queenstown will not accept any responsibility if these items are damaged or misplaced.


Limitation of Liability

Hosting Queenstown does not accept any responsibility or liability for acts or omissions of third parties that may prevent or disrupt a Guest’s booking. The information and descriptions supplied here are believed to be accurate and offered in good faith. Certain features or facilities may be unavailable from time to time due to circumstances beyond our control, for which we accept no liability. In addition, Hosting Queenstown does not accept any liability for injury, loss or damage to any visitor to the rental property who is not a listed Guest.


If Hosting Queenstown is found liable for a breach of our obligations, the maximum liability of Hosting Queenstown in any circumstance for any injury, loss or damage suffered by a Guest arising out of or in connection with the use of the rental property is capped at three times the nightly rate of the rental booked by the Guest. Hosting Queenstown accepts no liability for injury, loss or damage to any visitor to the rental property who is not a listed Guest.
